General Ledger is based on the simple “Double entry Book keeping” principle. That is each transaction is entered as a debit and as a credit from a journal Nominal either prepared manually or from other financial modules integrated to the General Ledger.
General Ledger fully supports multi-company, multi-division, and multicurrency financial accounting. All financial results can be tracked and reported at the individual operating unit level and then consolidated.
Fiscal calendars, accounting period definitions, and closing rules provide control and consistency for applications that impact the general Ledger. Transactions from other applications are designed to integrate with General Ledger seamlessly.
At the heart of the General Ledger is a multi-dimensional Chart of Accounts that enables the user to perform powerful financial analysis and performance measurements. The user-defined structure can be changed easily and dynamically as your business evolves.
Transactions may be posted in any currency and are automatically converted to “home” currency for financial reporting and consolidation. Currency conversion and exchange rates are based on rate effectively by date or by user entry.
The user will be able to construct the company, or branch, chart of accounts utilizing the GL chart of account module. The user will be able to define the account category, levels, headers, sub-totals, and total accounts.
The system will provide the user with the capabilities of assigning budget for each Account and each cost center. The system will maintain the actual transaction amount for each account and each cost center to produce the comparison report against budget.
The system provides the user with the flexibility of defining the number of periods, within the same financial year, and the start and end date for each period.
The Financial period can only be closed when the end date for that period has been reached. Once a financial period has been closed, no transactions will be allowed for that period. The system allows the user to open more than one period at the same time.
At the end of the financial year, all periods must have been closed including the last period. The year-end processing is to close the financial year and produce all the necessary year-end reports.

Visibility of invoice disbursements is achieved through integration with the requisition and purchase order approval capabilities.
Accounts Payable invoice entries are matched with purchase order receiving to facilitate the update of purchasing, inventory, and work-in process records. Vouchering of purchase order receipts supports the calculation of purchase price variances and allows pay-on-receipt processing for Just-In-Time (JIT) vendors.
Online invoice processing facilitates the full distribution of costs for material and services to multiple general ledger accounts. The system is fully integrated to support direct charge posting to work-in-progress accounts. Automatic amount balancing during invoice entry ensures complete and accurate ledger updating.
A systematic process is provided for the check creation, printing and reconciliation cycle. An onscreen function helps you select and consolidate the invoices you wish to pay, then set up and print the checks. A check reconciliation capability ensures that bank cash accounts are correct.
Supplier Quotes extends the reach of the purchasing cycle by maintaining, tracking and reporting request-for-quote (RFQ) and supplier-quote information.
RFQs can be generated for an unlimited number of suppliers. Supplier’s information is automatically pulled from master files. a supplier quote is created by combining existing RFQ information with the supplier’s responses. Supplier quotes may be entered directly or indirectly by entering a supplier’s response to an RFQ. In either case, requests for multiple prices based on quantity discounts gives purchasing agents the information they need to make smarter buying decisions.
Inquiry and reporting functions provide up-to-the minute tracking of all active RFQs and supplier quotes. Extensive history files offer valuable data for performing price, delivery, and quality comparisons.
All or selected parts of a supplier quote can be converted directly into a purchase order. For the sake of efficiency, supplier quotes may be optionally closed during the conversion process. All closed supplier quotes are maintained in history files for future reporting.
Purchase Orders helps you manage suppliers, control inventory levels, reap the benefits of Just-in-Time and consigned inventory, and analyze the financial impact of your procurement decisions.

The lifeblood of every business is the sale and distribution of its goods and services. At the heart of this process is the sales order system. Sales Orders provides a fully integrated online environment for entering and processing sales orders as well as managing the physical distribution of goods and consigned inventory.
Sales Orders provides visibility into all inventory locations with instant access to on-hand quantities, reserve inventory, scheduled receipts and other pertinent information. Sales Orders enables you to quote accurate delivery dates with confidence and check the customer’s credit status before you complete the order.
Sales Orders supports pricing based on list prices or multiple discounting structures. You can schedule price changes based on effective dates. You can simplify and automate even the most complex pricing schemes through customer and items classes and price groups.
The solution also enables you to take orders for special items and services. Sales Orders supports “one-time” items or items built to custom specifications.
Sales Orders provides critical customer profile information for order entry, product distribution, and billing. This information controls credit status and policies, payment terms, and carrier and freight handling procedures. The solution also maintains customer information by locations, which allows you to establish unique bill-to, ship-to, and paying office locations.
Sales Orders gives you the information you need to stay on top of your finances. Each sales order has its own tally of on-order and open amounts for individual inquiries or full reports. The cost-of-sales is calculated as goods are shipped. All period statements, credits and returns that affect inventory are tracked for reporting. Open sales order amounts are extended and summarized to report total expected revenue by period.
The solution enables you to enter orders in any currency to support global businesses. The module automatically converts orders into your “Local” currency for financial reporting, taking into account rate affectivity and fluctuations in exchange rates. Sales Orders also supports valueadded taxing (VAT).
Sales Quotes extends automation to the beginning of the sales cycle, before finalization of customer or prospect orders. This enhances both the efficiency and timeliness of reported sales data and activities.
The system automates the pricing of goods and services for faster and more accurate customer quotes. Flexible pricing options enable your organization to incorporate all standard sales order pricing and discounting techniques. All or part of the quote can then be converted directly into a sales order and the sales quote is automatically closed. All closed sales quotes are maintained in history files for future reporting purposes.
Sales, purchasing, production, transfers and adjustments all have an impact on inventory, which itself is often maintained at different locations. Inventory is a complete system that offers integrated, interactive management of all your inventories including physical stock room, in-transit, consigned and others.
Because of the perpetual inventory activity within an enterprise, the ability to track its movement is critical. Inventory manages and provides full visibility of all material movement within your warehouse or location, as well as between your locations, both domestic and international. Inventory details are tracked by individual bins, as well as through stocking, consigned and in-process locations. Balances are maintained by category for each plant or warehouse location, providing dynamic stock status and historical visibility.
Inventory hierarchy tables define the sequence of locations within a warehouse, in which to look for materials, while LIFO/FIFO capabilities provide the means for controlling the issuance of those materials.
The ability to reserve inventory circumvents the need for a more rigorous commitment by allowing you to “soft allocate” material by lot, serial number or, for greater flexibility, by contract number.
Upon reaching the receiving dock, incoming material should flow smoothly through receiving and inspection. During this “dock-to-stock” process, you need visibility of the material’s status, its current location and its final destination. With Inventory, you can preset and automatically direct movement through the required steps and locations with a material routing.
For each item, Inventory lets you establish various units of measure such
as buying, stocking and selling. When material is moved, the system
automatically adjusts the quantities for the respective unit of measure.
For example, you may buy material in rolls and stock it in feet. You
can build and stock products for inventory as individual units or sell them
in packages. This feature lets you conduct business with suppliers and
customers on their terms while maintaining inventory on yours.
production is the complete solution for managing all work order-related information and activities – from opening work orders and handling work-in- process transactions through coordinating and evolving your production lines.
Work Orders gives you the flexibility you need to handle virtually any work order requirement effectively – whether you are building engineering prototypes, finished products and subassemblies, or managing an entire development project. The multiple line architecture allows you to schedule dates for multiple production runs or to build various combinations of items and/or value-added item components.
Optimal production operations often require discrete as well as repetitive manufacturing styles. Work Orders delivers the best of both worlds by allowing users to support a hybrid- manufacturing environment simultaneously, with capabilities for both discrete and repetitive back flushing.
Work Orders is fully integrated with the rest of modules to assist with the management of your discrete manufacturing processes. All financial transaction data is available for General Ledger posting.
For each manufactured line item on a WO, the system provides a bill of materials (BOM) and routing. Work Orders also provides the ability to include configured items on a WO’s BOM. This gives you the opportunity to use existing product versions or to tailor product configurations online in response to current production conditions or unique customer requirements. You can make changes, for example, to accommodate substitutions based on material availability, production capacity, operational methods, tooling, and customer specifications. These unique records also provide the basis for order tracking, cost auditing, and the as-built product configuration control document.
You always have instant and accurate visibility to your current investments in work-in-process inventory. Each work order provides an online valuation of the materials used and value-added costs. The total value of completed items is tracked for easy comparison to the planned work order costs and accumulated detail costs. Labor and machine efficiency data is generated and all transaction activity is tracked and calculated for financial posting and reporting.
To remain competitive, you must keep a tight rein on product and service costs. costing allows you to do just that. Costing gives you the ability to develop, monitor and manage your product and service costs.
As product and service design change, operational processes improve, and new suppliers are found, you must be able to determine the cost impacts quickly and accurately. You need to know what actions should be taken to correct problems and when to adjust prices for profitability or market share. Costing is designed to help you accomplish this, regardless of the size of your operation.
Costing meets the needs of businesses whose products and services are supplied through both internal resources and from outside suppliers. Seven cost types can be used to create, model, and track costs throughout a product or service’s life cycle. These include both the standard, average and actual cost for each cost type, as well as previous, current and future transactions.
Each item can have multiple user-defined cost elements. By accurately recognizing the true components of cost, these elements provide the critical visibility needed for effective cost control. Elements include fields for material, machine and labor run-time; set-up, fixed and variable overhead; outside processing, shrink / scrap, and freight.
item cost records are structures to show a hierarchical view of the costs for each item’s subassemblies, components and tasks. At each level of the item, the relationship of the materials used may be associated with the value-added costs of manufacturing or service delivery. This provides the means to value an item or service accurately as it progresses through the sequence of operations.
